A. This website
A.1 Hosting and server log files
This website runs on etis GmbH’s own infrastructure in Germany. When you access it, the web server automatically processes access data (IP address, date and time, requested URL, user agent) to the extent necessary to deliver the page and to ensure stability and security (Art. 6(1)(f) GDPR). Log data is stored only briefly and is not combined with other data sources.
A.2 No cookies
This website sets no cookies and uses no local or session storage for analytics or advertising purposes.
A.3 Requesting the trial version
When you request the trial through the form, we process your email address and – if provided – your company name in order to send you the download link and to handle your request. The legal basis is Art. 6(1)(b) GDPR (steps prior to entering into a contract, at your request). We additionally process your IP address briefly to limit abusive form submissions (Art. 6(1)(f) GDPR); it is not stored permanently. Submissions are delivered to our internal mailbox. The data is deleted once it is no longer required and no statutory retention obligations apply. It is not passed on to third parties.
We do not use your email address for advertising unless you have explicitly consented. You may object to the processing at any time – write to helpdesk@etis-gmbh.de.
A.4 Web analytics
We use Plausible Analytics to measure how this website is used. Plausible works without cookies and without cross-device recognition. No personal data and no IP addresses are stored; metrics are collected in aggregate only (page requested, referrer, device type, country). We cannot attribute them to you as an individual. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in statistical analysis to improve our offering).
A.5 Embedded videos (YouTube)
Product videos from YouTube are embedded on this website. The preview image is served from our own server – as long as you do not start a video, no connection to YouTube is opened and no data is transmitted there. Only when you click a video does your browser load the player fromyoutube-nocookie.com, transmitting technically necessary data – in particular your IP address – to Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. The legal basis is your consent given by that click (Art. 6(1)(a) GDPR). Further information is available in Google’s privacy policy.
A.6 Purchases via FastSpring
Purchases do not happen on this website but on a page operated by our reseller FastSpring (801 Garden St. #201, Santa Barbara, CA 93101, USA). Clicking a buy button takes you off this website. FastSpring is responsible for processing your payment and billing data, and its privacy policy applies there. To administer your licence we receive the order data from FastSpring (name, company, email address, order number). We do not pass payment data to FastSpring and we do not receive card or bank details from them.
B. The vTiger Word Add-In
B.1 Data that is processed
When the add-in is installed and started, the following data is processed and transmitted to our licence server in order to validate your licence:
- licence key
- name of the licence holder
- company name
- product ID
- a system ID derived from hardware characteristics
B.2 Data that is explicitly not processed
- no content of your Word documents
- no content of your vTiger records
- no usage behaviour, no telemetry
- no location data
- no profiling and no automated decision-making
The connection to your vTiger CRM runs exclusively between your workstation and your own CRM system. Your CRM data is written into the Word document locally and is not transmitted to us. There is no background synchronisation and no intermediate storage with us or with third parties.
B.3 Purpose and legal basis
The purpose of the processing is to provide and validate the licence and to perform the licence agreement. The legal basis is Art. 6(1)(b) GDPR (performance of a contract) and Art. 6(1)(f) GDPR (legitimate interest in preventing unauthorised use).
B.4 Retention period
Licence data is stored for the duration of the licence agreement and deleted afterwards, unless statutory retention obligations – in particular under commercial and tax law – require otherwise.
B.5 Recipients and transfers to third countries
Licence data is not passed on to third parties. There is no transfer to countries outside the EU or the EEA.
C. Your rights
You have the right to access (Art. 15 GDPR), rectification (Art. 16 GDPR), erasure (Art. 17 GDPR), restriction of processing (Art. 18 GDPR), data portability (Art. 20 GDPR) and to object to the processing (Art. 21 GDPR). You are not obliged to provide data; without the information listed under B.1, however, using the licensed add-in is not technically possible.
To exercise your rights, contact helpdesk@etis-gmbh.de. You also have the right to lodge a complaint with a data protection supervisory authority, for example the State Commissioner for Data Protection and Freedom of Information of Rhineland-Palatinate.
D. Security and changes
Transmission between your browser and this website, and between the add-in and our licence server, is encrypted. We update this privacy policy when changes to our processing activities or to the legal situation require it.
