vTiger mail merge in Word – without the spreadsheet detour
The usual route to a mail merge from vTiger runs through a CSV export, a spreadsheet and the Word mail merge wizard. That works – until the data changes. The vTiger Word Add-In skips the detour and reads the records straight from your CRM.
Days often pass between export and dispatch. In that time addresses change, contacts move on, records get merged. The mail merge then goes out with last week’s state – to everybody at once. Then there is the effort: mapping columns, checking character encoding, re-linking field names in the wizard because the column order shifted in the export. Every single time.
How it works with the add-in
You open your Word template, click Mail Merge in the ribbon and pick the records in the selection dialog – filtered, sorted and searched directly in vTiger. For each record the add-in fills a copy of your template with the values that are in the CRM at that moment. The result goes either straight to the printer or out as one file per recipient. You map the fields once and save the mapping as a preset for every future template.
What you need
Microsoft Word 2016 or newer in its 64-bit version on Windows, a vTiger CRM from version 7 with REST API access, and an access token from your CRM user profile. Nothing is installed on the vTiger server – the add-in works client-side through the official REST API, so you do not need sign-off from your IT department to set it up.

How many records can one mail merge cover?
There is no fixed limit. You select as many records as you need in the dialog; the add-in works through them in order and produces either a print job or one file per record.
Can I filter who receives the letter?
Yes. The selection dialogs offer filtering, sorting and search across the fields of the relevant vTiger module. You decide which columns are shown in the settings.

What does the add-in cost, and is there a subscription?
The add-in costs 79 € once, including 19 % German VAT (66,39 € net). There is no subscription and no recurring cost: you pay once and may keep using that version. Businesses elsewhere in the EU with a valid VAT ID are billed net at checkout.
Can I try it before buying?
Yes. Request the trial through the form on this page – we email you the download link. The trial has the full feature set, you enter no payment details, and no licence key or activation code is needed: install it and get going. An access code is only required for the purchased full version.
Can I withdraw from the purchase or return it?
Please test the add-in before buying – that is what the free trial is for. At checkout you confirm that you want to download the software immediately and thereby waive your statutory right of withdrawal, which is how the law handles digital downloads. After that, withdrawal is no longer possible, and we do not grant a voluntary money-back guarantee beyond it. Your statutory rights in case of defects are unaffected: if the add-in does not work as described, email helpdesk@etis-gmbh.de and we will get it running or find a solution. If you are unsure whether your vTiger or Word version fits, please ask us beforehand.
Does anything have to be installed on my vTiger server?
No. The add-in runs entirely on the workstation and talks only to vTiger’s official REST API. Nothing is installed on the server, nothing is changed in the database and no module in the CRM is modified. You need neither root access nor your IT department.
Where does my data live? Are document contents transmitted?
Your CRM data stays in your vTiger. The add-in fetches it when a document is generated and writes it into your Word file locally. The contents of your documents are never transmitted to us, there is no background sync and no analysis of your usage behaviour. For licence validation we process the licence key, name, company, product ID and a system ID derived from your hardware.
Which vTiger versions are supported?
vTiger 7.x and newer with REST API access enabled – Community Edition and commercial editions alike. If you run an older installation, contact us before buying and we will tell you whether your version works.
Does it run on a Mac or in Word for the web?
No. It is a Windows application for desktop Microsoft Word 2016 or newer (64-bit). Word for macOS, Word in the browser and the mobile Word apps are not supported.
How many machines can one licence cover?
One. The licence key is hardware-bound and applies to a single workstation. If you replace a machine permanently we transfer the key for you – a short email is enough. For multiple workstations, ask about our team licences.
Do I get updates?
Yes, you can download new versions. Updates are not installed automatically though: when a new version is released you download it here and install it over the existing one. We cannot guarantee indefinite compatibility for older versions.
Can I pull data from several modules into one document?
Yes. The Assign Data dialog combines organization, contact, opportunity and further modules into a single document. That is exactly what the feature is built for – a quote typically needs fields from several modules at once.
Is there a limit on templates or records?
Not on templates – create as many as you like, each with its own field mapping. For a mail merge you select as many records as you need; the documents are produced either straight at the printer or as individual files.
Which languages does the interface support?
German, English and French. The language is taken from your system settings automatically and can be switched at any time.
